See files shared with you in OneDrive (2024)

  1. Sign in to OneDrive.com with your personal Microsoft account.

  2. In the left pane, under OneDrive, selectShared. Files or folders shared with you appear under the names of the people who shared them.

  3. Select a file or folder to open it, just as you would any other item in OneDrive.

Helpful info about shared folders

When you open a shared OneDrive file while signed in to your Microsoft account, people with permission to edit that file can see that you've opened it. People who can edit will also be able to see your name, email address, and profile picture.

If you copy a shared file to your Files view (by using the Copy to option), any changes you make to the saved copy will not be reflected in the original file, so no one else with access to the original file will see your changes.

If the owner of the original file revokes your access or deletes the original file, it will disappear from your Shared view.

You can't move items out of the Shared view into your Files view, but you can add a shortcut to shared folders ifyou have edit permissionto a folder, which also allows you to view them on your computer. See below for more info.

View a Shared folder on your computer

If you have edit permission to a shared folder, you can add a shortcut to it under your Files view. This will keepthe shared folder alongside your own folders in your Files list, and makes it easierto move items between folders and work on items offline. If you sync the folder to your Windows or Mac computers running the OneDrive app, you can see it on your device andwork with the folder offline.

Any updates you make sync with the shared folder, so everyone with access to the folder is up to date. For more information, see Add and sync shared folders to your OneDrive.

What do "Can view" and "Can edit" mean?

People sharing items with you can give you permissionto either view or edit them.

  • Can view - You can only open andview the item, but you can't moveor update it.

  • Can edit- You can move or copy the item within the shared folder, or to your own OneDrive. You can alsoshare the item with others.

Remove items from the Shared list

If you no longer want or need access to a file or folder that's been shared with you, you can remove it. This won't delete the folder and will just remove if from your view.

  1. In the OneDrive on the web, from the left side navigation pane, select Shared.

  2. Select the files or folders you want to remove from yourShared view, then select Remove from shared list.

After you sign in with your work or school account on the OneDrive website, here's how you see files or folders shared with you:

  1. In the navigation pane, click Shared > Shared with you.See files shared with you in OneDrive (1)

  2. To sort or group the items by column, click a column and select an option from the drop-down list. For example, click the Date shared column and then select Older to newer or Group by Date shared.

  3. To filter the items shown in the view, click the Filters icon above the list.

    Under Filters, you can:

    • Move the Modified anytime slider between Oldest and Today to select a date range when files were last modified.

    • Select file types to filter on, such as Excel or Photos and videos.

    • Under People, enter the name or email address of a person who has shared with you.

Notes:

  • You can view folders shared with you in your OneDrive folder by adding a shortcut. ClickShared>Shared with you, right-click a folder, and then clickAdd shortcut to My files. For more information, seeAdd shortcuts to shared folders in OneDrive for work or school.

  • The maximum number of items displayed in this view is 500 items.

  • Files that were shared with you before September 2017 will be missing information in the Date shared and Shared by columns.

Remove items from the Shared list

If you no longer want or need access to a file or folder that's been shared with you, you can remove it.

  1. In the OneDrive website, from the left side navigation, select Shared.

  2. Select the file or folderyou want to remove from the Shared list, then select Remove from shared list.Note:You can only remove one file or folder at a time.

Tip:When you remove an item from your Shared list, you still have permissions to it. You can return an item to your Shared list if you use its link again. Ask the item owner for the link if you can't find it.

Note that the Shared view is not a separate folder - you cannot move items out of it into your Files view. You can copy the shared file to your Files view, but any changes you make to the saved copy will not be reflected in the original file, so no one else with access to the original file will see your changes.

Also, if the owner of the original file revokes your access or deletes the original file, it will disappear from your Shared view.
