If you disable a user, the Active Directory object remains untouched together with the mailbox data and properties(including forwarding settings and full access), butyou will not be able to access any mailbox data directly, using that user credentials. Disabling a user

A user can be disabled directly in the HostPilot® Control Panel or disabled automatically when the mailbox contents have exceeded the space allowed for the mailbox.

Note:Disabling a user only prevents authentication with that user credentials,all services remain intact as well as all the charges applied to the user. Delegates with full access permissions will still be able to access the disabled user's mailbox and the mailbox will continue receiving and forwarding messages as usual.

It can take up toseveral hours, after re-enabling a user,for the status change of the mailbox to propagate throughout Active Directory and allow the mailbox to be available again.

    When auser is disabled through HostPilot, you will no longer be able to access any data associated with it. The data will remain on the server indefinitely and can be accessed again by enabling the mailbox. Disabled users email accountsare able toreceive emails. The mailbox will continue tobe counted in the total number of mailboxes on your account, and the space used by that mailbox will still be included in the total disk space for your account.
    Note: Once theuser is disabled active sessions via Outlook and mobile devices may remain active for an unspecified period of time even though the account is disabled and/or the password is changed. This is due to the design of the Microsoft authentication tokens.
  • To disable or enable a user's mailbox, navigate to HostPilot > Users >Click on the user's display name>click Disable User/Enable User.

  • User's mailboxes disabled automatically because of the size
    If a mailbox is disabled due to exceeding the set Storage Management Limit for the mailbox, it will be enabled again automatically when you do one of the following:
    • Increase the allowed disk space for that mailbox through Storage Management.
    • Reduce the contents of the mailbox to be within the established size limit

Deleting a mailbox

Ifan Exchange mailbox is deleted, the user loses all data and attributes associated with the Exchange mailbox, though the Active Directory object and the email address still remain in the system. To delete an Exchange mailbox, navigate toHostPilot > Services > Mailboxes > Exchange Mailboxes, uncheck the box next to the mailbox under Exchange Mailbox and click Proceed.

Note: For 30 days, the mailbox with all the data in it is still stored on the server. During these 30 days, the mailbox can be reconnected to another user object and all the functionality of the mailbox can be restored (client access, management through HostPilot, etc.). To reconnect a mailbox, submit an Extended Service requestby navigating to HostPilot > Support > Extended Servicesandselect Undelete a mailbox from the drop-down list.

After 30 days, if the mailbox has not been reconnected, it is purged.

Important: If your plan includes a certain number of Exchange mailboxes, decreasing its number lower that that will not affect the billing. Otherwise billing changes are applied without delay.

Deleting a user

If you delete a user, the Active Directory object is removed together with all the data and properties of the user. To delete a user, navigate toHostPilot > Userscheck the box next to theuser and click Delete Selected Usersand thenConfirm.

The user cannot be deleted if one of these licenses is assigned to it:
- Office Apps
- Intermedia Unite
- SharePoint ownership.
