The Print dialog box in Visio is divided into two main areas: Settings and Preview. When you are satisfied with the preview and your settings, click the big Print button to print your drawing file.
Settings
The Settings pane has "smart defaults" that help you print quickly. However, you still have all the other print settings you may be accustomed to. Click Page Setup to open the dialog box that includes all printing-related settings.
The Print All Pages option prints every page in the drawing file in the order in which the pages are stored in the file. This is the default setting. You may also choose to print the current page, the current view, and more.
The Current View option prints the part of the drawing that shows in the program window. If you choose to only print the current drawing view, you have the option to Fit the current view to a single sheet.
Preview
In the Preview pane, you can:
Pan across a diagram: Point the mouse at the diagram, click the left button, and drag the mouse.
Switch across pages or zoom in or out from a diagram using the controls at the bottom of the preview pane.
Pan and zoom to the page level by double-clicking any tile, then using Shift + arrow keys to move across the page.
Fit the drawing to the preview pane by clicking the icon to the right of the zoom control.
Toggle page breaks and see how pages will look by clicking the icon to the left of the zoom control. This feature shows you how the pages will look when laid out next to each other.
Background printing
Background printing is turned on by default in Visio 2016 and later versions. The status bar displays the status of jobs that are printing in the background.
To display the Print dialog box, click (Down arrow) of the Print button or the Start Printing button in the Preview screen, and select Check Settings and Print....
The Print dialog box lets the user select options for a particular print job. For example, the user can specify the printer to use, the range of pages to print, and the number of copies.
To capture the whole computer screen, which may consist of multiple overlapping windows and/or dialog boxes, you simply press the Print Screen key. To capture just the currently active window, first hold down the ALT key and then press the Print Screen key.
On the Print area of the File options, click the Print option to open the Print dialog box. Click Setup to display the Page Setup dialog box. Set or change the options in the dialog box, as needed. See the article Set print options in Access for a full list of these option descriptions.
A dialog box is a temporary window an application creates to retrieve user input. An application typically uses dialog boxes to prompt the user for additional information for menu items.
Used to adjust printing settings and create a print file, or to print directly to a system printer. Opens when File > Print is chosen. A Show Preview button to the right of the icon bar lets you expand the dialog box to display a preview image.
When you press Ctrl + P, it typically triggers the printing function within the active application. This action can open a print dialog box that allows you to customize the printing options before sending the document to the printer.
